Unit 2: Creating and Managing Contacts

For iOS7,8, and 9.

SECTION 1: Introduction.

This lesson covers basic and intermediate contact management. Contacts are used by many apps, including Email, phone and text messaging to name a few. When you receive an incoming call, your iOS Device can tell you who it is, if you have that number in your contacts. When you send Email messages, you can quickly insert Email addresses from your contacts rather than typing them letter by letter. In this lesson you will learn:

SECTION 2: An Important Note About Security.

As you build your contacts list, you will be accumulating a substantial amount of Information about people which could be used by criminals if your iOS Device falls into the wrong hands. In 2010 a U.S. government agency, the National Institute of Standards and Technology, NIST, defined this type of information as "Personally Identifiable Information." Here is their definition:

Personally Identifiable Information is any information that can be used to distinguish or trace an individual‘s identity, such as name, social security number, date and place of birth, mother‘s maiden name, or biometric records; and (2) any other information that is linked or linkable to an individual, such as medical, educational, financial, and employment information.

Let's simplify the government language a little. birth dates, home and work addresses, gender, and employer names are all included in the types of information cited in the NIST definition. As you build your contacts you store these pieces of information about the persons in your contacts list. This information could be used for identity theft. For example, how many times have you called your bank or credit card company and they have requested your birth date and home address to verify your identity?

You also will accumulate phone numbers, email addresses, Facebook pages, personal websites, twitter profiles, instant messaging IDs, and others. This information could be used for electronic stalking; and targeting children, the elderly, or those who live alone.

2.1: What You Can Do to Protect This Information.

One of the best ways to protect this information is to protect your iOS Device with a passcode that is difficult to guess, and by setting it to lock after a certain amount of time of inactivity. This will be discussed in a later lesson along with other safeguards.

2.2: Biometric Data.

Biometric data includes fingerprints, voiceprints, retina scans and the like. This personally Identifiable Information used to belong primarily to the realm of science fiction, but now devices like the iPhone 5s, iPhone 6, and iPad Air 2 have the ability to store biometric data. You unlock them with a fingerprint. It is important to safeguard this data as well.

SECTION 3: Finding and Launching Contacts.

The Contacts app can be found on the first page of your Home Screen. If you are not sure where it is, you can use any of these techniques to find it.

Find the icon using whichever method works best for you, or mix them up to get practice with each. However, you should learn the location of this icon so you can go right to it. You will probably be using it often.

3.1: Launching Contacts.

SECTION 4: The Contacts List Screen.

The Contacts List Screen displays a list of all the contacts you have. Each contact gets one row in the list. The list can become quite long. Several methods for navigating the list are discussed below, but you always have the Next and Previous Screen gestures available. You can find out the number of rows in the list, and which ones are displayed by making any row in the list the Current Item, and using the Where Am I gesture. When an item in a list is the Current Item, The Where Am I gesture will tell you which rows are displayed, and the total number of rows in the list. For example, Voiceover might say, "Rows 1 to 10 of 57."

4.1: The Action Row.

Like many other screens there is an Action Row at the top just below the Status Bar. The following three items are located in the Action Row.

The Groups Button.

Your iOS Device has the ability to manage contacts from several sources at the same time. For example, you could have your personal contacts list that you manage at iCloud, a contacts list for work managed on the servers at your office, and a contacts list managed by an organization you belong to like the Lions club. This button appears if you are managing multiple lists. These contacts can be displayed together in one combined list, or you can display them separately. The screen this button activates allows you to control this. When you are done press the "Done" button at the upper right corner.

The Screen Heading.

Immediately to the right of the Groups button is a heading that says, "All Contacts," or just "Contacts," depending on a number of factors.

Headings are informational only, but it's important information. It's telling you what combination of contact lists you are looking at. Using the example from the previous paragraph "All Contacts" would mean you are seeing your personal iCloud contacts, your office contacts, and your Lions club contacts all in a combined list.

The "Add" button.

This button is on the right side of the Action Row for the Contacts List Screen. Press it to add a new contact to your list. You will be taken to the Contact Card Screen in Edit mode. We'll cover creating a new contact in detail in section 5 of this lesson.

4.2: The Contacts Item List.

As discussed in the previous lesson, Editing Text, Section 3, Item lists are organized by rows. The common element for all item lists is that each item in the list occupies one row. The items discussed in the remainder of this section are part of the Contacts Item List. In addition to each contact, the item list has several other features including a search field and table index bar. These are discussed below.

The list is displayed in alphabetical order either by first name or last name, depending on how your settings are configured. More about that later in Section 8. The Contacts List Screen has these items in order from left to right and top to bottom.

4.3: The Search Field.

This field is immediately below the Group and Add buttons. If you have scrolled past the first screen of the contacts Item list, you will not be able to find the field with the Explore gesture. To correct this, use the Previous Screen gesture until you get back to the top of the list. Better yet, try the Jump to Top gesture. It will get you to the top of the Contacts List with one gesture.

A search field is a text field you can use to filter a list of items so that only those that match what is entered into the search field are visible. This is different than "sorting" a list, which rearranges all the members of the list into alphabetical or numerical order without removing any.

This search field will filter your contacts on some key word or part of a telephone number. For example, you can see only contacts whose name is "steve" or from "Trenton", or from a given company. You can filter by zip code, address, state, partial email address or just about anything. When you want to stop filtering, activate the Cancel button to the right of the search field.

4.4: The Table Index.

NOTE: With the table index as the current item you can use the Move Forward or Backward gestures anywhere on the Contacts List Screen to move through the contacts lists one heading at a time. A single finger flick down will take you from contacts starting with "A" to those that start with "B", from "B" to "C", and so on. Flicking up will move you backwards one letter at a time. The flicks don't have to be directly on the Table Index bar.

NOTE: You could do the same thing by using the Dial gesture to set the rotor to the Headings function, and then use the Move Forward and Backward gestures to move through the list.

Suppose you needed to get to a contact whose name starts with a "z," and you are all the way at the beginning of the list. You could use the table index bar and then flick down 25 times until you get to the letter "Z", but this takes a long time and you just get a tired finger. You could use the Search Field to filter, but this too is time consuming. Fear not! There is a faster way!

4.5: The Tap Hold Gesture.

The Tap Hold gesture is accomplished by tapping the screen once with a single finger. Lift it up quickly and then put it down again on approximately the same spot. This time hold it still on the display until your iOS Device chirps. This gesture does different things at different times depending on the context of what you were doing before you performed it. This is called a Context Sensitive gesture.

If you perform this gesture while the Table Index is the current item, VoiceOver will announce the first letter of the alphabet that has a contact listed. Without lifting your finger, Explore slowly down. VoiceOver will announce other letters. When you get to the letter you want, lift your finger and the contact list will jump to the first entry that starts with that letter. This takes a little practice. So try it a few times. Remember to set the Table Index bar as the Current Item each time before you attempt it.

Let's go through it step by step:

  1. Explore the right side of the Contacts list. When VoiceOver says, "Table Index," lift your finger. The Table Index becomes the Current Item.
  2. Use the Tap hold gesture anywhere near the top of the screen. You don't have to do it on a contact or letter heading. Don’t wait for VoiceOver to say anything between the first tap and the hold. your iOS Device will chirp and VoiceOver will say, "A."
  3. Slowly Explore down the screen without lifting your finger. VoiceOver will start saying, "A", "B", "C", "D", and so on.
  4. Keep Exploring without lifting your finger until you hear the letter you want. If you go too far, just Explore upwards to go back through the letters.
  5. Lift your finger. The Contacts list will jump to the first contact beginning with that letter. If you lift your finger at the wrong time, you must start the procedure over again.

Table index bars can be found in many applications that contain long lists. From now on when you use the Tap Hold gesture to move through a table index this way, we'll call it the "Zip to" gesture.

4.6: The contacts List.

You can move through the list in several ways:

SECTION 5: Adding a Contact.

You can add a new contact from the Contacts List Screen by pressing the "Add" button on the right side of the Action Row. You will be transferred to the Contact Card Screen in Edit mode on a blank Card. All fields are available for you to edit. When you save your work, you will be returned to the Contact Card Screen in View Mode. All the fields you added information to are displayed, but View Mode omits blank fields.

There is no requirement to fill in all the fields. In fact, in most cases you won't have enough information to fill in every field. The fields are arranged in order from the most commonly used to the least commonly used. To move around the fields in the contact card screen you can use the Next and Previous Item gestures, a single finger flick right and left respectively. However, VoiceOverEasy.net recommends that you learn your way around this screen with the Explore gesture instead. When you find the button or field you want, use an Activate gesture to begin entering data.

5.1: The Action Row.

At the top of the Contact Card Screen in Edit Mode is an Action Row. It is located just below the Status Bar.

When you first enter the Contact Card Screen in Edit Mode, VoiceOver says, "cancel," to indicate that the cancel button is the Current Item. This button is located at the left side of the Action Row. Press it at any time to discard your changes. Explore until you find this button. Then move your finger slowly to the right. VoiceOver reads the heading, "New Contact" to indicate you are adding a new contact.

This button is at the right side of the Action Row. Pressing this button will save your work and create the new contact. We'll come back to this later.

5.2: The Add Photo Button.

Explore until you find the Cancel button again. Now explore downward. You'll find a large button which VoiceOver announces as the "Add Photo" button.

If you activate this button, you will be prompted to take a picture or choose one from your photo gallery. Usually, a picture that includes the contact's face is inserted here. When that person contacts you, his or her picture will display in addition to their name. We'll skip this for now.

Explore to the right. There are three text fields arranged vertically to the right of the "Add Photo" button. They are the First Name, Last Name and Company fields from top to bottom. Explore up and down to the right of the "Add Photo" button, until VoiceOver says, "First, Text Field."

5.3: The Name Fields.

The First Name field is immediately to the right of the top of the Add Photo button. Let's put the first name of Jim in this field. Before you can enter data in the field, you have to activate it.

  1. Make the First Name Text Field the Current Item.
  2. Use an Activate gesture. VoiceOver says, "Is editing."
  3. Now enter the letters J, i, and m using the keyboard at the bottom of the screen. Notice the "J" is automatically capitalized.
  4. When you are done typing, explore until you find the First Name field. Then slowly explore down until VoiceOver says, "Last, Text Field."
  5. Use an Activate gesture. Otherwise what you type next will be added to the First Name Field.
  6. Type this last name: N, as in November. A, as in Alpha. Z, as in Zulu. I, as in India, U, as in Uniform, M, as in Mike.
  7. When you are done typing, Explore until you find the "Company" field. It's to the right of the "Add Photo" button and just below Last Name.

5.4: The Company Field.

If you need to keep track of the company that your contact works for, then by all means put it here. However, if most of your contacts are personal, you can use this field for something else. Imagine that you had 100 or more contacts in your list. You know some of them from work, some from church, some from a service club like the Lions and some are family. You can put one or more of these associations separated by commas in this field.

Lets imagine that our new contact, Jim Nazium, is someone you know from church. He's also a member of the Lions club, and he's your personal trainer. Enter the words Church, Lion, and Trainer in the company field separated by commas. You can add as many associations as you want. As you do this for more contacts, you can search for all the contacts from a particular group like all the people from church or all those from the Lions club. Maybe you want to filter your contacts list to show only family members. It's easy. Put "Family" in the company field for each of your family members. Then put "family" into the search field in the Contacts List Screen.

5.5: The "Add" Buttons.

Below the Add Photo button and the Company Text Field is the first of a series of buttons which allow you to add information, such as; phone numbers, web addresses, street addresses and other items. VoiceOver reads each button as, "Add," followed by the information type. Once you Activate the button, a text field is added in the same row to the right which allows you to enter the information, and the function of the button changes.

The "Add," button now becomes a "label" button. For example, a contact may have a work telephone number, a home number and a mobile number. After you enter the information into the text field, you can activate this button to choose from a list of labels that identify which number, Email, street address or date the text field represents. Once you make the choice, the button text will change to indicate which item it is. By default, the button changes to, "Home."

5.6: Adding Phone Numbers.

Let's add Jim's telephone number at work to the Contact Card. To add a phone number do the following:

  1. Find the "Add Photo" button and explore slowly down the left edge of the Contact Card Screen until VoiceOver announces, "Add Phone, Button."
  2. Activate the button. The labels and functions for the buttons in this row will change as described in Section 5.5, and a new text field is added to the right side of the row. It becomes the Current Item and is activated for editing. VoiceOver says, Text Field, is editing, Phone."
  3. Use the keyboard at the bottom of the display to enter the phone number, 234-567-8910.
  4. After you finish typing, use the Explore gesture to find the field and check your work. VoiceOver will read the contents of the field when you touch it.
  5. Make any corrections that are necessary using the techniques you learned in VoiceOver Basics: Lesson 3, Editing Text.
  6. Now slowly explore to the left along the same row until you find the label button. It will probably say, "Home," but we need "work," to be the label for this number.
  7. If the label for this phone number is incorrect, activate the button and use the Select gesture, a single finger double tap, on the correct option for the label, then press the "Done" button in the upper right corner of the Label Options Screen.

Automatically Dialing Extensions and Telephonic Menu Options.

Suppose that when you dial Jim at work, you have to dial an extension like 9876. You can program the extension to be dialed automatically by adding either a comma followed by the extension number, or a semi-colon. The difference between the two is that the comma will pause for two seconds for each comma in the sequence then dial the digits that come after. The semi-colon will pause until you activate the "dial" button. The "Dial" button will appear after you initiate the call.

So if Jim's extension at work is 9 8 7 6, and you have to wait about six seconds between when the call connects and you can dial the extension, then do the following:

  1. Explore back to the work telephone number field and activate it.
  2. Use the Start/End of Field gesture until VoiceOver tells you that you are at the end of the field.
  3. Enter three commas followed by the digits 9, 8, 7, and 6.

When you dial Jim's work phone, the call will complete. There will be a six second pause to allow the company's menu system to start, and Jim's extension will be dialed.

Adding a Second Telephone Number.

To add another number do the following:

  1. Use the Explore gesture to find the text field in the row you just added.
  2. Explore down until you find the "Add," button and Activate it.
  3. Type the required information in the Text Field which just appeared on the right side of the row.
  4. Use the Explore gesture to find the field you were editing, and slowly explore to the left.
  5. If necessary, activate the button and set the label to the correct type.

Let's add a mobile number for Jim. Use the procedure above and enter his Mobile telephone number, 234-567-8911. You should now have two numbers listed for Jim, a work number and a mobile number.

NOTE: Each time you add a phone number, a new row appears beneath that number with another "Add" button. In this way you can add as many numbers for a contact as you need. This also holds true for email addresses, street addresses, and just about all the other information types.

5.7: Adding Email Addresses.

Let's add Jim's Email address at work to the Contact Card. To add an Email address do the following:

  1. Find the "Add Phone" button.
  2. use the Next Item gesture until VoiceOver announces, "Add Email, Button."
  3. Activate the button. The labels and functions for the buttons in this row will change as described in Section 5.5, and a new text field is added to the right side of the row. It becomes the Current Item and is activated for editing. VoiceOver says, "Text Field, is editing."
  4. Use the keyboard at the bottom of the display to enter the Email address, jNazium@MuscleMen.com. Email addresses are not case sensitive. That means they don't care whether they are entered with capital or lower case letters. However, capitalization often makes them easier to understand when they are being read by screen readers. VoiceOverEasy.net recommends that when you have an address like "MuscleMen.com," you capitalize the M of "muscle" and the M of "men" to increase intelligibility when you read them later.
  5. After you finish typing, use the Explore gesture to find the field and check your work. VoiceOver will read the contents of the field when you touch it.
  6. Make any corrections that are necessary using the techniques you learned in VoiceOver Basics: Lesson 3, Editing Text.
  7. Now slowly explore to the left along the same row until you find the label button. It will probably say "Home," but we need "work" to be the label.
  8. If the label for this Email address is incorrect, activate the button and use the Select gesture on the correct option for the label.

Adding another Email Address.

Let's add Jim Nazium's home email address,JimNazium@Yahoo.com. To add another Email address do the following:

  1. Use the Explore gesture to find the row you just edited.
  2. Explore down until you find the "Add Email" button and Activate it.
  3. Type the required information, JimNazium@Yahoo.com. You may want to capitalize the "J" and the "N" so VoiceOver reads the address more clearly in the future.
  4. Use the Explore gesture to find the field you were editing, and slowly explore to the left until you find the label button.
  5. If necessary, activate the button and set the label to the correct type. In this case we are entering Jim's home email address.

5.8: Setting Special ring tones and Vibrations for this contact.

The Ringtone and Text Tone Buttons.

These buttons allow you to set the ringtone and text tone for this contact. When you press either of these buttons, the Sounds Selection screen appears.

The Sound Selection Screen.

The screen for selecting sounds has an Action Row at the top. When the screen is activated, Voiceover says, "Cancel, Button," to indicate the Current Item. This is the first button on the left in the Action Row. You activate this button to cancel your changes, and return to the previous screen.

Use the Next Item gesture to move to the right of the Cancel Button. There is a heading that says Ring Tones or Text Tones, to indicate the type of sound you are selecting.

Use the "Done" button on the right side of the Action Row to save your changes and return to the previous screen.

Below the Action Row is a "Buy More Tones" button. You can press this button to go to the iTunes store to buy additional sounds for your iOS Device. We'll discuss more about that in an upcoming lesson.

The Sound Selection Screen.

Explore a little further down and you will find a heading which reads as, Default. Below this is a button which Voiceover reads as, "Selected," followed by the name of the sound that is played by default for an incoming call /message. If you Activate this button, you will hear the default sound. However, if you want to change the devault sound, it must be done from the Settings App.

The Ring tones List.

The list of available sounds begins immediately below the Action Row. The list is divided into two sections, ring tones and Alerts. If you dial the rotor to the Headings function, you can move quickly between the two sections with a Set Mode gesture. You can set any sound from either section as a Ring Tones or Text Tones sound as follows:.

  1. Make one of the sound buttons the Current Item.
  2. Use the Select gesture to select the sound and play it.

At the end of the ring tones and the Alerts sections there are "Classic" buttons. They open other screens with even more sounds. There's some good stuff here, so don't forget to check it out.

5.9: Adding a URL or Web Address for this contact.

URL is an acronym for Universal resource Locator. It's internet jargon for a web address. If Jim has a personal homepage, you can use the "Add URL" button to enter it here. In Jim's case it might be something like http//www.JimTheTrainer.com. This is done in the same manner as phone numbers and Email addresses.

  1. Find the "Text Tone" button and explore slowly down until VoiceOver announces the "Add URL, Button."
  2. Activate the button. The labels and functions for the buttons in this row will change as described in Section 5.5, and a new text field is added to the right side of the row. It becomes the Current Item and is activated for editing. VoiceOver says, "Text Field, is editing, URL."
  3. Use the keyboard at the bottom of the display to enter the web address, http://www.JimTheTrainer.com.
  4. NOTE: In web addresses capitalization is not important. However, when web addresses are composed of several words run together, capitalizing the first letter of each word will make screen readers, including VoiceOver, pronounce the address more clearly.

    NOTE: Because you are typing a web address, and because spaces are never allowed in web addresses, your iOS Device has replaced the spacebar with the period, slash, and .com keys for your convenience.

  5. After you finish typing, use the Explore gesture to find the field and check your work. VoiceOver will read the contents of the field when you touch it.
  6. Make any corrections that are necessary using the techniques you learned inVoiceOver Basics: Lesson 3, Editing Text.
  7. Now slowly explore to the left along the same row until you find the label button. It will probably say "Home Page," and in this case, that's OK.
  8. If the label for this item is incorrect, activate the button and use the Select gesture, a single finger double tap, on the correct option for the label, then press the "Done" button in the upper right corner of the Label Options Screen.

Adding another URL.

To add another URL do the following:

  1. Use the Explore gesture to find the text field in the row you just added.
  2. Explore down until you find the "Add," button and Activate it.
  3. Type the required information in the Text Field which just appeared on the right side of the row.
  4. Use the Explore gesture to find the field you were editing, and slowly explore to the left until you find the label button.
  5. If necessary, activate the button and set the label to the correct type.

5.10: Adding Street Addresses.

You add street addresses in much the same way you add email addresses. However, there is one important difference. A street address is made up of multiple fields. The names and layout of the fields vary slightly depending on which country the address is in. When you press the "Add address" button, several new fields will appear. The label button expands to take up the left side of the Contact Card Screen, and the fields are stacked vertically to the right of it. The table and instructions below are for addresses in the United States.

NOTE: It's important to put each part of the address into its separate field. If you don't, the Maps application may not be able to provide directions to a contact's address.

Table of Address Components for the United States.
Field Name. Description.
Street. The address number and street name. For example, 1313 Mockingbird Lane.
Street. This is not a duplicate. This is a second line with the same label where you can put an apartment number, suite name, or anything else customarily put on the second line of a street address. The field is optional and can be left blank.
City. The city or town name, such as; Los Angeles, Orlando, Boston, or Dry Gulch.
State. This field holds the two letter state abbreviation. There is no list to choose from. You must type the abbreviation using the keyboard.
Zip. This would be the 5 digit zip code. It can also include the optional 4 digit extension. You need to type the dash separator if you want it to appear.
Country. This field says the country name followed by the words "text field," but it's really a button that brings up a list of countries. The default was United States for the devices VoiceOverEasy.net used when developing this course.

NOTE: Even though Country is the last field in the field list, if you are entering an address for another country, change this field first. That way the other fields will be in the proper format for that country.

Let's suppose , 100 Healthy Drive, Suite 15, Sportswood NJ, 07001 is Jim Nazium's work address. To add it to the contact card find the "Add URL" button and do the following:

  1. Explore slowly down from the "Add URL" button until VoiceOver announces "Add Address Button."
  2. The First Street Address.

  3. Activate the button. The labels and functions for the buttons in this row will change as described in Section 5.5, and a new text field is added to the right side of the row. It becomes the Current Item and is activated for editing. VoiceOver says, "Text Field, is editing, Street."
  4. Use the keyboard at the bottom of the display to enter the first line of the street address, 100 Healthy Drive.
  5. After you finish typing, use the Explore gesture to find the field and check your work. VoiceOver will read the contents of the field when you touch it.
  6. Make any corrections that are necessary using the techniques you learned in VoiceOver Basics: Lesson 3, Editing Text.
  7. The Second Street Address.

  8. Now slowly explore down from the Street Field until VoiceOver says "Street Field." and activate the field for editing. This is the optional second line of the street address, but VoiceOver does not differentiate between the two lines. It's usually used for Apartment numbers, suite numbers, and the like.
  9. Enter, "Suite 15," and verify the data before moving on to the next field .
  10. City.

  11. Slowly explore down from the second street field until VoiceOver says, "City."
  12. Activate the field for editing and enter the name of the city or town. In this case let's enter, "Sportswood."
  13. Verify your entry is correct.
  14. State.

  15. slowly explore down from the "City" field until you find the "State" field.
  16. Activate the Field for editing and enter a 2 letter state abbreviation. In this case N J will do.
  17. Once you have verified your entry, explore slowly to the right from the State field until you find the Zip field.
  18. Zip

  19. Activate the field for editing and enter the Zip code. In this case, 07001. Notice that the keyboard started in Number mode this time.
  20. When you are finished, verify your entry.
  21. Country.

  22. Slowly explore down from the Zip code field. VoiceOver says, "United States, Text field," but this is really a button. You can activate it to change the address fields to match the standard format of another country.
  23. If the country is incorrect, activate the button and use the Select gesture, a single finger double tap, on the correct country name, then press the "Done" button in the upper right corner of the Country List Screen.
  24. This is a very long list with a Table Index bar on the right side. Activate the Table Index and use the "Zip To" gesture described in Section 4 above to navigate quickly to the first letter of the country you are looking for.

    The Address Label.

  25. Now slowly explore left from the Country button along the same row until you find the label button. It will probably say "Home," but we need "work" to be the label for this address.
  26. If the label for this item is incorrect, activate the button.
  27. Use the Select gesture on the correct country label to change it.
  28. Press the "Done" button in the upper right corner of the Label Options Screen.

Adding another Street Address.

Try adding a home address for Jim now. Let's make it 45 Exercise Lane, StrongBody NJ, 07777. To add another street address do the following:

  1. Use the Explore gesture to find the Country button for the address you just added.
  2. Slowly explore downward until you find the "Add Address" button.
  3. Follow the numbered steps in 5.10 above until the address fields are complete.

5.11: Adding Birthdays and Other Important Dates.

Below the Street address is the "Add Birthday" button. It works just like the other "Add" buttons we have seen so far, except that instead of bringing up a keyboard to enter text, it brings up three Picker Items, one for the birth month, one for the day, and one for the year. Let's make Jim's birthday January 1st.

NOTE: Most people put birthdays in their contacts lists so that they can be reminded of that date. However, it is not necessary to include the year for this to work. Remember the discussion about Personally Identifiable Information from section 2. The full birth date is a very valuable piece of information to those looking to steal identities. As a safeguard to protect those in your contacts list if your phone is stolen or misplaced, consider leaving the year blank.

Birthday alerts are Off by default. To turn them on do the following:

  1. Launch the Settings App from the Home Screen.
  2. Activate the "Mail, Contacts, and Calendars" button.
  3. Find the "Default Alert Times" button near the bottom of the list and Activate it.
  4. Use an Activate gesture to change the setting from "None," to whatever you desire.
  5. Press the "Back" button.
  6. Press the Home Button twice to activate the App Switcher.
  7. Close the Settings App.
  8. Activate the Contacts Icon to return to the Contacts Application.

See the "Default Alert Times" heading under Calendars, Section 3.1 for more information.

Below the "birth date " row is a button to add other dates that are significant for that contact. For example, you may want to enter the contacts anniversary or perhaps a spouse's birth date. You use the same process you used for the birth date, but add these steps.

  1. Find the label button to the left of the date you just added.
  2. Activate it and select one of the available field labels, or use the Customize Label button to create a label of your own.
  3. When you are finished, select the "Done" button at the top right of the Label Options Screen.

5.12: Adding Related Names.

Let's suppose Jim has a sister named Mary, and you don't want to forget her name. He also has an assistant who you already have in your Contacts List. Use the Related Names section to help. You can simply type in a name and define its relationship to Jim, or you can set the relationship to an existing contact. Let's give it a try.

  1. Find the "Add Date" button and explore down the left edge of the Contact Card screen until you hear "Add related."
  2. Activate the button. When VoiceOver says, "Text Field, Is Editing," you now have two choices, you can enter a name of someone using the keyboard at the bottom of the display, or you can go to your contact list and select a contact.
  3. Enter the name "Mary" by typing it on the keyboard.
  4. Find the Text Field you just edited and Explore to the left until you find the label button for the row the field is on.
  5. Activate the button and select the "Sister" label and press the "Done" button.

You are finished adding Jim's sister's name to Jim's contact card. Now let's add a contact we already have as Jim's assistant.

  1. Explore until you find the "Sister" button for the row you just edited.
  2. Now explore downward until you find the "Add Related Name" button and Activate it.
  3. Now slowly explore to the right until you pass the Text Field. You will find a "Clear Text" button. Keep exploring.
  4. A little to the right of the "Clear Text button is a "More Info" button. Activate it. Your Contact list appears.
  5. Find the contact you want to designate as Jim's assistant and select it. You will be returned to the contact Card, and the contact you selected is now in the text field.
  6. Explore to the left and activate the label button. Select "Assistant" from the choices.
  7. Press the "Done" button at the top right of the Related Names Options Screen. You have now defined the contact you selected as Jim's assistant.

5.13: Adding Social Profile Aliases.

The Social Profile is the alias used by each person on various networking sites, such as; Twitter, Facebook, Linked in and so on.

  1. Find the "Add Related" button and explore slowly down the Screen until VoiceOver announces "Add Social Profile, Button."
  2. Activate the button. The labels and functions for the buttons in this row will change as described in Section 5.5, and a new text field is added to the right side of the row. It becomes the Current Item and is activated for editing. VoiceOver says, Text Field, is editing, Social Profile."
  3. Use the keyboard at the bottom of the display to enter the alias this contact uses for one of the networking services.
  4. After you finish typing, use the Explore gesture to find the field and check your work.
  5. Now slowly explore to the left until you find the label button. It will probably say "Twitter" or "Facebook".
  6. If the label for this item is incorrect, activate the button and select the correct option for the label. If you don't see the network you want, such as Pinterest, MySpace, AudioBoo or others, choose the "Add Custom Service" button and enter the name of the social network service. Press the "Done" button in the upper right corner of the Label Options Screen.

Adding another Social Profile.

To add another Social Profile do the following:

  1. Use the Explore gesture to find the Text Field in the row you just added.
  2. Explore downward until you find the "Add Social Profile" button and Activate it.
  3. Type the alias the contact uses in the Text Field.
  4. Use the Explore gesture to find the field you are editing, and slowly explore to the left until you find the label button.
  5. If necessary, activate the button and set the label to the correct type.

5.14: Adding Instant Message Aliases.

You add instant message aliases the same way you add social network aliases.

NOTE: You may have noticed a pattern for adding phone numbers, email addresses, URL/web sites, street addresses, Social Profiles and instant message aliases. They all start on their own row with an "Add" button. When you press the button, the row changes and has a label button on the left, and a text field on the right. The "Add" button moves down to a new row. This means you can store any number of phone numbers, email addresses, and so on for a contact.

  1. A "delete" button, which looks like a red minus, appears on the left side of the row.
  2. The "Add" button becomes a label button telling the type of item such as a home phone number verses a mobile number.
  3. A text field appears to the right that you fill in using the keyboard or Picker Items which appear at the bottom of the display.
  4. If the label button is showing the wrong label, like Work phone instead of Home phone, you activate the button and adjust the label accordingly.

Try adding an alias without any further instruction from VoiceOverEasy.net.

5.15: The Notes Field.

This is a text field where you can make any other comments about this contact you want. For example, you might include something about the person's likes or dislikes, what magazines he or she reads, or just about anything else you think is important. You can also use this field to store Associations, like we did in the company field above, but when you want to change the associations here, you have to work your way down through all the other fields first.

The Typing Predictor.

When the Notes Text Field is activated for editing, the Typing Predictor will be Centered below it. On smaller displays the Typing Predictor stretches all the way across the display. On larger displays there is some room to either side. If you are looking for the Typing Predictor, it's best to explore down from the horizontal center of the field you are editing.

Typing Predictor will try to anticipate the word you are about to type, or suggest completions for the word you are in the middle of typing. You can choose one of these selections and the entire word is typed for you.

5.16: The Add Field Button.

There are some other commonly used fields in contact cards. You might want to store nicknames for one or more contacts, or whether or not the contact should be addressed as Mr, Mrs, Doctor, sergeant and so on. You can use the add field button to make these fields available to you when creating and editing contact cards.

5.17: Saving the New Contact Card.

When you are done filling in the information, press the "Done" button in the upper right corner of the Contact Card Screen. to save the info you entered for Jim Nazium.

If Jim is the only contact you have in your list, take some time now to add a few more. You can add family members, colleagues, best friends, or whoever. Having multiple contacts in your list will make the steps in future lessons that involve contacts easier to follow and understand.

SECTION 6: The Contact Card in View Mode.

The one exception to the Activation rule above is the notes Text Field. You can activate this text field for editing from View Mode to write a quick note on the contact card.

6.2: Sharing the contact Card with Others.

You can share the card for this contact with others by using the "Share" button just below the "Send Message" button. You can send the contact card as an attachment to a text or an email message. If the recipient's device can understand the format of the attachment, they can import the card into their own address system.

NOTE: You should not share someone's contact information with another person unless you have the contact's permission to do so. Remember that the information you have on the contact can be easily abused.

6.3: The Edit Button.

in View mode the "Edit" button is at the top right of the Contact Card screen. Be sure to activate it first before attempting to edit information on the contact card.

SECTION 7: Editing and Deleting Contacts.

To edit an existing contact do the following:

  1. Display the Contact List Screen.
  2. Find the contact you want to edit and use the Select gesture to activate it. The contact card will appear in View mode. See section 6.
  3. Press the Edit button in the upper right corner of the contact card. You are brought to the same screen you used when adding the contact in section 5. Refer to that section for the meanings of individual fields and how to navigate the Edit mode.
  4. Press the "Done" button at the upper right of the Contact Card to save your changes or press the "Cancel" button at the upper left to cancel them. In either case you will be returned to the Contact Card screen in View mode.

We will use Mr. Nazium's contact information in later lessons at VoiceOverEasy.net. So let's try these things to put in some safeguards to ensure you don't accidentally dial his number or send him an email. Use the techniques you learned in Section 5 above to make these changes.

  1. Change his email addresses so that they point to VoiceOver-Easy.net instead of MuscleMen.com and Yahoo.com. Messages sent to these addresses at VoiceOver-Easy.net will be ignored.

7.1: Deleting a contact.

You must be in Edit mode on the contact card you wish to delete. Otherwise the option is unavailable. To delete a contact, do the following:

  1. Display the Contact List Screen.
  2. Find the contact card you want to delete and use the Select gesture to activate it. The contact card will appear in View mode.
  3. Press the Edit button in the upper right corner of the contact card to enter Edit mode.
  4. Scroll to the bottom of the contact card and press the "Delete" button. The contact card is deleted and you are returned to the Contact List Screen.

7.2: Adding Yourself to Your Contacts List.

There are several reasons that you might want to do this. First, someone may want your contact info at some point. You could verbally provide them the information. You could even hand them a business card. However, if you have your contact information as a contact card, you can simply attach it to a text or email message and send it to them. This saves a lot of time and eliminates potential errors when the other person keys in your information. Another reason, is that it helps to personalize Siri's responses. More about that in the lesson on Siri.

If you do not already have a contact card for yourself, use the techniques you learned in Section 5 above to add one now.

SECTION 8: The Contacts Setup Options.

Now that you are familiar with the Contacts application and screens, let's discuss some ways to change the order in which contacts are displayed, and the way they appear. You can find these options under Settings.

  1. Go to the Home Screen.
  2. Find and Activate the Settings icon.
  3. Now we need to find the "Mail, Contacts and Calendars" button. There are several ways to do this. You can use the Next and Previous Item gestures until you find it, or you can activate the Item Chooser and scan through the items alphabetically. Use whichever way works best for you.

  4. Activate the "Mail, Contacts and Calendars" button. This brings up a setup screen with multiple sections. Each section is preceded by a Heading item. We need to find the section for "Contacts." You could do this by repeating the Next Item gesture until you find it, or by using the Item Chooser again, but let's discuss another option involving the Rotor which we learned about in VoiceOver Basics Lesson 3: The Rotor.

8.1: The Headings function of the Rotor.

Here is a quick Rotor refresher. You activate the rotor by turning an imaginary dial on the display with two fingers. You dial the rotor to a function. Some functions are navigational; like Characters, Words, Lines, and headings. Some are Behavioral; like Speech Rate, hints, punctuation and Sounds. When you select a Navigational function, the single finger flick up and down become the Move Backward and Forward gestures respectively. They will move you backward or forward through text and web pages by characters, words, lines or headings.

  1. Dial the rotor to the "Headings" navigational function.
  2. Use the Move forward gesture, the single finger flick down, to move to the first heading.
  3. Keep using the Move forward gesture, until VoiceOver announces the "Contacts" heading. If you go too far, just use the Move Backward gesture, a single finger flick up, to get back.

Whether you find the Contacts heading by beginning with the Next Item gesture, the Item Chooser, or using the Headings function of the rotor doesn't really matter. Use whatever way you are most comfortable with. As you get better with VoiceOver, you will find that there is often more than one way to do something. You have to use what works best for you.

8.2:Changing the Sort and Display Order.

With the Contacts heading as the Current Item, use the Next Item gesture. VoiceOver announces a button for the sort order. Part of the button's name contains the sort order your contacts are currently appearing in. You can sort by first name then last name, or last name then first name. Use one of the Select gestures, the single finger double tap or the split tap, to choose the way the contacts should be sorted. Then use the "Mail, Back" button at the top left of the options screen to return to the Mail, Contacts and Calendars Setup Screen.

Below the Sort Order button is the "Display Order" button. VoiceOver will announce the current display order as part of the button's name. You use the same technique to change it that you did for the sort order. When contacts are displayed in first name then last name format, Jim's card will display in the list as "Jim Nazium," but in Last name then first name order, he will be displayed as "Nazium, Jim."

The display and sort order are independent. If you have the sort order set to Last name then first name, and the display order set to first name than last name, all your contacts whose last name starts with the same letter will be listed together, but you will hear them in a more natural sounding way as you move through them in the list.

8.3: The Short Name Button.

This button is just below the "Display Order" button. It brings up a screen which allows you to affect how contacts are displayed when they appear in some lists. An example would be a list of your contacts in an email address field. The contact names can be shortened so that more of them appear on screen at one time.

When you Activate the button, an options screen will appear with the "Mail, Back" button selected. Use this button when you are done selecting options. Use the Next Item gesture twice. You will arrive at a button labeled "Short Name, On."

If you turn this button off, then contact names will never be shortened in lists. If you leave it on, you can use a Select gesture to choose an option from the table below. We'll use our new contact's name, Jim Nazium, to show the effect on displayed names.

Below these options is the "Prefer Nicknames" button. It will cause nicknames to be displayed in lists for each contact you have added a nickname to. Activate the button to toggle between the on and off state. In order to add a Nickname to a contact card, you have to use the "Add Field" button near the bottom of the Edit Screen. See Section 5.16 for more details.

8.4: The My Info Button.

This button brings up the Contact List Screen. Find the contact card with your information and use a Select gesture to indicate this card is about you.

SECTION 9: Review.

9.1: New Item Review.

Search Field. Search Fields are Text Fields used to filter lists by finding items that match the text entered. Search fields can filter a list of contacts to show only those who live in Ohio. They can filter a list of email messages to show only those from a particular person, or within a particular month. They can filter playlists to play only songs from a particular artist and so on.
